Inventory records are most useful when they explain not only the current stock balance, but also which batch changed it, which lot was involved and whether the movement was later corrected. The new inventory workflow connects those decisions to the exact ingredient and packaging lots used in production.

Choose tracking at the point of use

Each ingredient or packaging lot selected in a Batch has its own Track inventory control. This lets a formulator deduct stock for a lot that is physically managed while leaving an untracked line out of inventory validation and deductions.

  • See the current lot stock while preparing the Batch.
  • Choose tracking separately for every ingredient and packaging lot used.
  • Keep the choice when the Batch is completed.
  • Avoid blocking production on intentionally untracked material.

Stock changes are recorded as movements

Instead of treating inventory as a number with no explanation, Formulator Online records operations in an inventory movement ledger. The Tracking Inventory page provides filters and transaction details, while related lot and Batch screens expose the movements in context.

Draft inventory can be applied deliberately before completion. Later corrections, added lots or removed lots are calculated from the change rather than deducting the full quantity again. Reversal controls make a correction visible instead of silently rewriting the original operation.

A practical production workflow

  1. Create or open the Batch and select the actual ingredient and packaging lots.
  2. Confirm the current stock shown for each tracked lot.
  3. Enable Track inventory only where stock should be validated and deducted.
  4. Apply draft inventory when your process requires an early reservation, or complete the Batch to record the production movements.
  5. Use the movement history when investigating a balance or correcting a lot selection.

Export a workspace backup before a major change

Workspace owners can also request a downloadable backup export. Progress is shown while the archive is prepared, and the download is restricted to the requesting workspace. Use it before a large import, data cleanup or process change, and store the resulting archive according to your company’s access and retention rules.

What to review with your team

  • Which physical lots must always be tracked?
  • Who is allowed to apply, reverse or correct inventory movements?
  • When should draft quantities affect the available balance?
  • How often should a workspace owner export and test a backup?

Open Formulator Online and review the lot selections on your next production Batch.
